Terms & Conditions

Please take time to read the terms and conditions of True Grasses Safaris’ services. Confirming a safari with True Grasses Safaris assumes that you have read, fully understand and accepted the terms and conditions described below.


  1. When booking with True Grasses Safaris please provide us your full itinerary, intended date for arrival and departure, number of people traveling in your party, sleeping arrangements and flight details, if known. This ensures that all arrangements are made to your complete satisfaction.

  2. Before confirming a safari, the client must inform True Grasses Safaris of any preferences and special requests of the participants; like diet, medical needs, requirements relating to disabilities and any other requirements. True Grasses Safaris will meet the requests where possible

  3. All information detailed in client itineraries is given to the best of True Grasses Safaris’ knowledge and based on the latest information available. True Grasses Safaris cannot be liable for modified information from third parties, nor for any obvious typing errors.
  4. Please note that for safaris that include flights/ferries and gorilla trekking to reserve seats and gorilla permits we need: your full names as they appear in passport, your nationality and passport number. Also advance bookings are recommended. Due to others cancelling may allow for shorter term bookings, but it is strongly advised to book well in advance if specific dates are needed. Children under fifteen are not allowed to trek the gorillas.

  5. True Grasses Safaris reserves the right to change and re-adjust the tour schedule, transportation, accommodation and services indicated in the itinerary in the event of unforeseen circumstances before arrival. Any changes to the itinerary will be communicated to the client as soon as possible. All bookings are subject to availability.


  1. The prices quoted for the various safaris are as per the itinerary. When a quotation is given this will include what is included in the price and what not.

  2. Expenses that are generally never covered: international air fares, visa and passports, travel insurance, any vaccinations / malaria pills needed, tips and gratuities and other items of a personal nature.

  3. True Grasses Safaris reserves the right to change prices at any time should there be any fluctuation in the exchange rate or increase in the cost of any element of the tour.

Alteration of Tour

  1. True Grasses Safaris reserves the right to alter any route or arrangement or to cancel the operation of any scheduled tour should political or environmental conditions necessitate. True Grasses Safaris reserves the right to decline, accept or retain any member of a tour at any time. Should you fail to join a tour by the required departure time or leave prior to its completion, True Grasses Safaris bears no responsibility of any additional transportation, accommodation or any other service to such individual(s). No refunds will be made for client failure to attend or complete a booked tour.

  2. True Grasses Safaris reserves the right to alter any route or arrangement, to cancel the operation of any scheduled tour or vary the safari services in any way in the event of unforeseen circumstances, such as road closures, bad weather, problems with national parks or hotels and security considerations. In such cases, alternative arrangements will be made as circumstances permit.

Transfer of Booking

  1. In the event you are unable to travel due to extraordinary circumstances, we may transfer your booking to another party provided the arrangements remain the same, and provided that suppliers (airlines, hotels, etc) are all ready to accept the transfer. Gorilla permits are generally not transferable but we will check if this is possible at the given time.

Viewing Animals and execution of Tour

  1. When it comes to game viewing, please be advised there are no guarantees with wildlife or game viewing. You must take caution when viewing the animals and carefully follow the instructions given by either the tour guide or wildlife rangers It is a privilege to see animals in their natural habitat.

  2. A gorilla or chimpanzee permit guarantees clients will be able to track the primates in question but does not guarantee that the animals will be in plain sight. For Chimpanzee Tracking children under 12 are not allowed to do the track and for Gorilla tracking, the age is not below 15 years. Pre-tracking briefings will be given by Park Rangers and rules and regulations must be strictly adhered to. True Grasses Safaris bears no responsibility for individuals rejected or terminated early from tracking by Park Authorities. Anyone with signs of communicable disease will not be allowed to track the primates.

Cancellation / Refunds

  1. All cancellation requests must be made in writing and shall be effective on the date of actual receipt by True Grasses Safaris. The following cancellation charges apply:
    60 days or more prior to arrival 10% charge
    59 – 32 days prior to arrival 25% charge
    31 – 8 days prior to arrival 50% charge
    7 – 3 days prior to arrival 75% charge
    48 hours or less prior to arrival 100% charge
    Air tickets and Gorilla permits are 100% non-refundable.

  2. True Grasses Safaris reserves the right to deduct all expenses incurred from money paid.

  3. No refunds will be made for any unused services, late arrival or no-show of any of the members of the tour.

Mode of Payment

  1. All prices are quoted in US Dollars. Local currency is accepted at the current True Grasses Safaris dollar buying rate. Payment can be made by bank transfer or cash, before the start of the safari.

  2. All tours will be booked and confirmed only upon receipt of a 30% deposit of the whole tour. For gorilla permits, a full advance payment of the permit fee is required in order to make the reservation. The balance should be paid prior to the start of safari, unless agreed otherwise.


  1. The mode of transport used will dependent on the number of clients, route taken and/or the specifications of the itinerary. Most safaris use 4WD minibuses (up to nine passengers) with pop-up tops and seven window seats for game viewing. Small group safaris (three or less) can be executed in 4WD station wagons. We also use 4WD long chassis land cruisers. Group of twelve and more people who would like to travel in one vehicle are offered 25-29 seat coasters that have about 16 window seats. Overland trucks and 14 seater minibuses are available on request.

  2. Fully trained and experienced English speaking driver/guides will accompany every safari. The driver’s decision on all matters, such as the route taken, is final.

  3. VIP visitors can request luxury 4WD station wagons, 7 seat minibuses


  1. True Grasses Safaris reserves the right to substitute equivalent or superior hotels, if a hotel of equivalent standard is not available. True Grasses Safaris may substitute the next best quality hotel or suggest superior standard accommodation (extra charges may apply).

Travel Insurance/Personal Injury

  1. All clients must be fully responsible for their own fully international medical insurance coverage with evacuation. Local evacuation coverage is available in the unlikely event of a medical emergency. True Grasses Safaris can arrange this for you if requested at the time of booking. True Grasses Safaris cannot accept any liability for injury or accident.


  1. All bookings are accepted on the specific condition that True Grasses Safaris and its agents act only as agents in all matters relating to hotel/lodge accommodations, tours, transport, etc. True Grasses Safaris cannot accept liability for injury, delay, loss or damage in any manner whatsoever.

  2. True Grasses Safaris reserves the right to employ subcontractors to carry out all or part of the services agreed to be supplied. All claims are subject to the jurisdiction of the courts of the country area.

  3. True Grasses Safaris will make every effort to ensure that all arrangements and services offered as part of the safari are carried out as specified in the most efficient way possible. However, True Grasses Safaris does not have direct control of the provision of services by suppliers and, whilst every supplier is chosen with the utmost care, True Grasses Safaris does not accept liability for errors or omissions of such suppliers.

  4. True Grasses Safaris shall not be liable for any loss, damage or injury of any nature whatsoever whether to person or property. This includes that True Grasses Safaris cannot be held responsible for the direct or indirect costs of loss or damage to baggage or personal to baggage. Please guard your valuables and maintain vigilance while on safari.

  5. True Grasses Safaris cannot accept liability or pay compensation for unforeseen circumstances beyond the control of the company or its staff, including flight delays/cancellations or force majeure such as war or threat of war, riots, civil disturbances, terrorist acts, border closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport and all similar events beyond the company’s control.

  6. Please let the driver/guide know immediately if you are inconvenienced in any way during your trip. Many issues can be resolved either by the driver/guide or by the head office. A senior member of staff is on call 24 hours a day to help resolve issues that may arise.

  7. If the client has an unresolved complaint, a written statement with details should be delivered to the Managing Director of True Grasses Safaris not later than 30 days following completion of the trip, failing of such means no claim may be brought against True Grasses Safaris.
